Club Meeting Minutes

Members Present:  Brenda Groskinsky, Don Cackler, Gene Wee, Dan Kuhlman, Becky McClure, Dee Boeck

Meeting was called to order by President Brenda.

The February club minutes were reviewed.  On Dan's motion and Gene's 2nd, they were unanimously approved.

Gene gave the treasurer's report listing various income and expenses.  He announced the balance as of March 1 at $14,500.73.  Gene also indicated he had filed the Form 990N with the IRS verifying that we are a non-profit organization.

After a discussion regarding the fact that we have not yet recruited a slate of candidates for officer positions, it was decided that it would be best to keep the current slate of officers until a time when we have recruited a new slate of candidates and then schedule the election for the fall.  It was agreed that we will make a concerted effort to recruit new officers at our annual club social, normally in August, and then vote in September with the new officers taking office in January.  Brenda moved that we adopt this course of action, Dan seconded and it passes unanimously.

Brenda presented a training opportunities application process which she had written and sent to several officers within the past month.  This is a process whereby club members can avail themselves of training opportunities, particularly those offered by the Road Runners Club of America, and get reimbursement from the club.  A copy of this process is available on the club website.  There was discussion as to whether applicants should be limited to club members and after consideration, it was determined the opportunity should be limited to club members.  Dee moved to approve this process, Don seconded and it passed with one dissenting vote.

 

 

The next agenda item was budget development.  Gene has always presented an extensive comprehensive budget for our Thanksgiving Day 5K, which encompasses the majority of the club expenses and income.  However, he will work on a total year-around club budget as well and present it at a future meeting.

Brenda announced that she will be attending the RRCA convention in New Orleans in a few weeks.  She indicated she has developed a runner safety program which she will be presenting at the annual convention.  She indicated RRCA wants her presentation to be of the "training the trainers" type so those attending can go back and offer the training in their home clubs.

Gene and Dee gave a brief update on the 2019 T-Day run.  VanGo has agreed to make the awards again.  We are working with Ad Astra to obtain the give-away item.  Woodlawn School has agreed to be the host school once again.  Gene is looking into possibly switching the on-line sign up company for race registration.  We have made a deposit with Race Day Timing Solutions to again do our timing.

Gene and Dee announced that they are receiving a community health & wellness award from the Douglas County Health Department due to their directorship of the runLawrence Thanksgiving Day 5K, the proceeds of which benefit local youth running programs.

The next meeting will be on April 7 at 4:30 p.m. at the Lawrence Public Library.

Don moved for adjournment; Dee seconded and the meeting adjourned at 5:30 p.m.
